Car rental software, built around your fleet and branches

O AI, a Saudi software company in Al Khobar, builds car rental and limousine software for rental companies: fleet, bookings, contracts, check-out and return, maintenance, payments and branches in one system, in Arabic and English, with each rental tracked against its unified electronic contract on the Transport General Authority's Tajeer portal.

In short

What does car rental software do?

Car rental software is the system a rental company runs its fleet from: which car is where, who has booked it, what the contract says, what condition it left and came back in, and what is owed. It replaces the mix of spreadsheets, paper check-out forms and phone messages that many offices still use beside the official portal.

In Saudi Arabia the rental contract itself is issued electronically through the Transport General Authority's Tajeer portal. Your own system handles everything around that contract: the fleet, bookings, branches, maintenance, money and reports. It suits a single car-rental office as well as a company with several branches.

What we build

Modules of a car rental system

We build the modules your company needs, from one office to several branches. A typical scope draws on these:

Fleet and vehicles

Each car with its plate, category, branch, mileage, insurance, registration and operating card, with alerts before anything expires.

Bookings

Bookings from your website, your app, a call or the counter, with availability by branch and category in real time.

Contracts

Each rental with its Tajeer contract number, customer, car, dates, mileage and fuel, and the extras agreed.

Check-out and return with photos

A tablet or phone checklist at handover and return, with photos of the car, so damage disputes rest on evidence.

Maintenance and servicing

Service schedules by mileage or date, workshop visits, tyres and repairs, and the cost of each car over its life.

Payments, deposits and invoices

Deposits, extensions, extra kilometres, damage and fine charges recorded against the contract, and e-invoices.

Branches, staff and permissions

Transfers between branches, staff by branch, and permissions so each person sees and does only their part.

Limousine and chauffeur service

Trip requests, driver assignment and tracking for a limousine fleet, in a dispatcher screen and a driver app.

Reports and dashboards

Fleet utilisation, revenue by car and branch, idle cars and overdue returns on one screen.

Saudi platforms

Saudi platforms a rental system works with

A rental company works inside the Transport General Authority's rules. Your system supports that work; it does not replace the official portals. Any direct technical link is confirmed with the operator for your case.

Tajeer (Transport General Authority)

The portal through which the unified electronic car rental contract is issued. The Authority has made the electronic contract binding on rental offices of every category, with the contract signed electronically. Your system keeps the Tajeer contract number beside its own booking, payment and condition records.

Official site: tajeer.tga.gov.sa

Naql (Transport General Authority)

To issue contracts on Tajeer, the company must be licensed by the Authority with an active main account on the Naql portal, and each vehicle needs a valid operating card. The system can track those licences and cards with their expiry dates.

ZATCA e-invoicing (Fatoora)

Rental invoices follow the Zakat, Tax and Customs Authority's e-invoicing rules, and we plan them from the start.

Tajeer and your system: who does what

The official contract lives on Tajeer; the rest of the rental lives in your system. This is the usual split:

On Tajeer and in your rental system

How to choose car rental software

Whether you subscribe to a program or build your own, ask these seven questions before you sign:

Tajeer contract tracking

Does every rental keep its Tajeer contract number, so a booking, a payment and a contract never drift apart?

Evidence at handover

Are check-out and return done on a phone or tablet, with photos stored against the contract?

Expiry alerts

Does it warn you before an operating card, insurance policy or registration expires?

Branch control

Can each branch see its own cars and staff, while management sees the whole fleet?

Deposits and extra charges

Are deposits, extensions, extra kilometres and damage charges recorded and settled against the contract?

Your own channels

Can customers book from your website and app, under your brand?

Data you can take with you

Can you export the fleet, customers and contract history whenever you want?

In practice

Equipment and truck rental

The same structure suits equipment rental: assets instead of cars, hours or days instead of kilometres, and maintenance by running hours. Truck rental follows its own Transport General Authority regulation, which we read with you in the scope phase.

Ready-made or custom

Ready-made rental software or a custom system?

Ready-made car rental programs suit a single office with a standard flow. A custom system pays off when your fleet, branches or services go beyond that shape.

How we work

How we build a rental system with you

We build in phases, starting where your team loses the most time today.

  1. Scope session

We learn your fleet, branches and services, and how bookings, contracts and returns run today.

  2. Process and platform map

We map the rental from booking to return, with the Tajeer contract and every licence the Authority requires.

  3. A first module

Often fleet and bookings, so your branches work from one live view of the cars early.

  4. Build in phases and test

Check-out and return, maintenance, payments and apps follow, each tested at a real branch.

  5. Launch, training and support

We move your fleet data, train each branch and support the system under a plan agreed with you.

The cost depends on the scope: fleet size, branches, users, modules, apps and integrations. We quote it in writing after a free consultation.

Our own products

What we have built: Rushd as proof

Rushd by O AI is law-firm software our in-house team built and runs: one account on the web, iPhone and Android, in Arabic and English.

It already handles what most sector systems need: role-based permissions, an audit log of who did what (on the Premium plan), documents, tasks and notifications, and AI drafting in Arabic and English.

A rental system needs the same parts: contracts and documents, reminders before due dates, permissions by branch, and apps on iPhone and Android.

O AI has not yet delivered a car rental management system. In this sector we built the website of Secura Car Rental (securaksa.com), as listed on our About page, and our system proof is Rushd, a law-firm system we built and run. We take projects from rental companies across the Kingdom.

Questions

Common questions

What is car rental software?

Car rental software is a system that runs a rental company's fleet, bookings, contracts, check-out and return, maintenance, payments and branches in one place, so every branch sees the same cars and the same customers.

Does the system issue the Tajeer contract?

No. The unified electronic rental contract is issued through the Transport General Authority's Tajeer portal. The system keeps the contract number with the booking and the car, and any direct link with Tajeer is confirmed with the Authority for your case.

Can customers book from our own website and app?

Yes. We build the booking website and the iPhone and Android app on the same system, with availability by branch and category.

Can the system handle a limousine service?

Yes. A limousine module adds trip requests, driver assignment and a driver app beside the rental fleet.

Does it work for several branches?

Yes. Cars, staff and permissions are set by branch, with transfers between branches and reports for each one and for the whole company.

Can we move our data from the program we use now?

Yes. Moving the fleet, customers, open contracts and balances is planned in the scope phase and checked with your team before the old program is switched off.

Can the system record damage and traffic-fine charges?

Yes. Damage found at return, with its photos, and fine charges you pass on under the contract are recorded against the rental and settled from the deposit or invoiced.

How much does car rental software cost?

It depends on the scope: fleet size, branches, users, modules, apps and integrations. We send a written quote after a free consultation.

Have you built car rental systems before?

Not a rental management system yet. We built the Secura Car Rental website, and our system proof is Rushd, a live system we built and run. We take projects from rental companies across the Kingdom.

Who owns the source code and the data?

Ownership of the source code and of the hosting accounts is agreed in the contract before the build starts. We put it in writing so both sides know what is handed over at the end. Your data is yours.
