Hotel management system and booking software, built for your property

O AI, a Saudi software company in Al Khobar, builds hotel and hospitality systems for hotels, furnished and serviced apartments, chalets and rest houses: reservations, front desk, housekeeping, maintenance, billing and your own booking website and app, in Arabic and English, with the Ministry of Tourism's licensing and guest-registration requirements in the plan.

In short

What is a hotel management system?

A hotel management system, often called a property management system (PMS), is the software a hospitality property runs from: which rooms or units are free, who has booked them, who has checked in, what each guest owes and which rooms are ready. It joins the front desk, housekeeping, maintenance and accounts on one record per stay.

A chalet or rest-house business needs a lighter version: a booking calendar, deposits, check-in and check-out, cleaning between stays, and a booking app or website customers can use directly.

What we build

Modules of a hotel and hospitality system

We build the modules your property needs, from a group of chalets to a hotel. A typical scope draws on these:

Rooms, units and availability

Room and unit types, the availability calendar, blocks and closures, across one property or several.

Reservations

Bookings from the front desk, your website, your app, a call or WhatsApp, with deposits and cancellation rules.

Front desk: check-in and check-out

Guest registration, keys, room moves, extensions and the guest's folio from arrival to departure.

Guest profiles

Each guest's stays, preferences and notes, so a returning guest is recognised.

Housekeeping

Room status, cleaning tasks by floor or unit, inspections and lost-and-found, on staff phones.

Maintenance

Requests from staff and guests, planned maintenance and out-of-order rooms that disappear from sale until fixed.

Billing, deposits and e-invoices

Folios, deposits, extra charges, corporate accounts and e-invoices, passed to your accounting system.

Booking website and app

Your own booking engine on the web and an iPhone and Android app, so direct bookings stay with you.

Reports and dashboards

Occupancy, average daily rate, revenue by channel and housekeeping status on one screen.

Saudi platforms

Saudi requirements a hospitality system plans for

A licensed hospitality facility works under the Ministry of Tourism. The system supports that work; it does not replace the official portals. Any link is confirmed with the Ministry for your facility and licence type.

Ministry of Tourism licensing portal

Licences for tourism hospitality facilities, such as hotels, serviced apartments and holiday homes, are issued through the Ministry's tourism licensing portal. The system can hold each licence, its classification and its expiry date.

Tourism Monitoring Platform (Ministry of Tourism)

The Ministry's service directory for hospitality facilities lists linking guest-registration systems with the Tourism Monitoring Platform among the licence requirements, and the link is managed from the licensing portal. We plan the system's guest records around that requirement and confirm the method with the Ministry.

ZATCA e-invoicing (Fatoora)

Guest and corporate invoices follow the Zakat, Tax and Customs Authority's e-invoicing rules; we plan them from the start.

In practice

Chalets, rest houses and holiday homes

Smaller properties have different needs from a hotel. A chalet booking system usually comes down to five things:

A clear calendar

Day, night and weekend slots, with seasons and occasions blocked in advance.

Deposits and confirmation

A deposit taken online, and a confirmation the guest receives at once.

Check-in and check-out rules

Check-in and check-out times, the security deposit held, and the inspection at departure, with photos.

Cleaning between stays

A task for the cleaning team the moment a guest leaves.

Your own booking app

A chalet booking app or website under your name, beside any platform you list on.

In practice

Messages guests actually read

Most guest questions arrive on WhatsApp. The system can answer them without adding work at the desk:

Confirmations and reminders

Booking confirmations, directions and check-in reminders sent by WhatsApp or SMS.

An Arabic assistant

A chatbot that answers common questions from your own policies and can take a booking request.

After the stay

A short feedback request after check-out, with replies routed to the right team.

In practice

How to choose a hotel system

Before you subscribe or build, check these points against how your property runs:

Arabic and English

Are screens, confirmations and invoices right in both languages?

Guest registration

Does it hold the guest data your licence requires, ready for the Ministry's platform?

Housekeeping on phones

Can the cleaning team update room status from the corridor?

Direct bookings

Can guests book on your website and app, without a commission to anyone?

Several properties

Can you run more than one property, with reports for each and for the group?

Your data

Can you export guests, stays and invoices whenever you want?

Ready-made or custom

A ready-made hotel system or a custom one?

Large international hotel systems and ready-made programs suit standard hotels well, and we say so when they fit. A custom system pays off when your properties or your way of selling do not fit their shape.

How we work

How we build a hospitality system with you

We build in phases, and the front desk and housekeeping teams test each phase before it goes live.

  1. Scope session

We learn your properties, room or unit types, booking channels and how a stay runs today.

  2. Flow and requirement map

We draw a stay from booking to departure, with the licence, guest-registration and invoicing requirements.

  3. A first module

Often reservations and the availability calendar, so bookings run from the new system early.

  4. Build in phases and test

Front desk, housekeeping, billing and the booking app follow, each tested on real stays.

  5. Launch, training and support

We move your data, train each team and support the system under a plan agreed with you.

The cost depends on the scope: the number of properties and units, the modules, the apps and the integrations. We quote it in writing after a free consultation.

Our own products

What we have built: Rushd as proof

Rushd by O AI is law-firm software our in-house team built and runs: one account on the web, iPhone and Android, in Arabic and English.

It already handles what most sector systems need: role-based permissions, an audit log of who did what (on the Premium plan), documents, tasks and notifications, and AI drafting in Arabic and English.

A hospitality system rests on the same parts: bookings in place of court sessions, tasks for housekeeping and maintenance, permissions by role, and apps for staff and guests.

O AI has not yet delivered a hospitality project, and Rushd is a law-firm system. We take projects from hotels, furnished-unit operators and chalet owners across the Kingdom.

Questions

Common questions

What is a hotel management system (PMS)?

A hotel management system, or property management system (PMS), is software that runs a property's rooms, reservations, check-in and check-out, housekeeping, maintenance and billing on one record per stay.

Does the system link with the Tourism Monitoring Platform?

The Ministry of Tourism lists that link among the requirements for hospitality licences and manages it from its licensing portal. We plan the guest records around it and confirm the method with the Ministry for your facility; we claim no existing link.

Can guests book from our own website and app?

Yes. We build a booking engine on your website and an iPhone and Android app on the same system, with online deposits.

Does it suit chalets and rest houses?

Yes. A lighter version covers the booking calendar, deposits, check-in and check-out rules, cleaning between stays and a booking app.

Can it run several properties?

Yes. Each property has its own units, staff and reports, and management sees the whole group.

Can it connect to online booking platforms?

Where a booking platform or a channel manager offers a connection, we plan it in the scope phase, so availability and bookings stay in step. Each connection depends on the platform's own terms.

Can it handle corporate accounts and long stays?

Yes. Corporate guests can be billed to their company's account with agreed terms, and long or monthly stays in furnished units are handled with their own schedule of charges.

Can we move our data from the system we use now?

Yes. Units, future bookings, guest profiles and open balances are moved in a planned step and checked by your team before the switch.

I'm looking for hotel software to book a room. Is this page for me?

No. We do not sell hotel bookings. This page is for owners of hotels, furnished apartments and chalets who want a system built to manage their properties and bookings.

How much does a hotel system cost?

It depends on the scope: properties, units, modules, apps and integrations. We send a written quote after a free consultation.

Have you built hotel systems before?

Not yet. We take projects from hotels, furnished-unit operators and chalet owners across the Kingdom. Our proof is Rushd, a live system we built and run.

Who owns the source code and the data?

Ownership of the source code and of the hosting accounts is agreed in the contract before the build starts. We put it in writing so both sides know what is handed over at the end. Your data is yours.
